A major and well-established company in Mauritius faced significant challenges in tracking their forecasted purchases. Critical information, such as current stock levels, real sales, and sales forecasts, had to be collected from multiple sources, resulting in a time-consuming and inefficient process.

 

The objective of this project was to deliver an automated solution that seamlessly gathers data from various sources, providing the client with accurate, real-time insights. This solution empowered the decision-making team to determine optimal order quantities more efficiently, reducing manual effort and improving accuracy.

The story of this project

Managing inventory for a company that has been distributing food products across the island since the 1950s is a complex and demanding task. With multiple branches, diverse brands, and a wide range of product categories, accurately tracking sales and purchases presents significant challenges.

 

The Purchasing Team must forecast and plan orders months in advance, as shipments to Mauritius, which often take several months to arrive, require meticulous planning. To determine the correct order quantities, the team analyzes real sales data, sales forecasts, current stock levels, and projected inventory needs.

 

The greatest challenge lies in consolidating all these data points into a comprehensive and actionable report for informed decision-making. The manual process was not only time-consuming but also highly susceptible to human errors and omissions, increasing the risk of stock discrepancies and inefficiencies.

 

Our solution was designed to simplify this process, minimize errors, and empower the team to make data-driven purchasing decisions with confidence.

The client’s real sales data, sales forecasts, current stock levels, and projected inventory needs were scattered across multiple sources, including Microsoft Excel files and third-party software. Using Microsoft Power Query, we established automated connections to these sources, seamlessly importing the data into a centralized Master File. This integration streamlined data management, ensuring accuracy and providing a unified view for better decision-making

We implemented advanced logical formulas and a database-driven approach to streamline our client’s workflow. The key challenge was to integrate this new system while preserving the familiar layout the client was accustomed to. Ultimately, we succeeded in simplifying the process for both administrators and end-users, enhancing efficiency without compromising usability.

We provided the decision-making team with a dynamic dashboard offering a clear, visual overview of sales, purchases, and stock levels over a 9-month period. The dashboard was designed for easy readability, enabling quick insights at a glance. Additionally, it was built for effortless maintenance and rapid updates, ensuring that reports remain current with minimal effort.
